Certifications, Background Checks, and Health Screens

Incoming Student Requirements

Incoming students are required to submit certain certifications, background & drug screenings, immunization records and health screens as part of the admissions process. Goldfarb utilizes a compliance management system for tracking clinical compliance requirements. Students are required to set up an account in the compliance management system and submit all required certifications, immunization records, background checks, and drug screens in order to gain admission and be eligible to participate in clinical experiences. Requirements must be submitted and approved by the deadlines prior to the first clinical. Failure to comply with these requirements will render the student unable to attend clinicals. Background checks and drug tests must be completed by the census date. Census date is defined as the tenth day of the attendance in a new term. Students are also responsible for updating the required documents prior to online registration each term. Failure to submit the required documentation will result in a delay in registering for some courses. 

Passport/Carelearning

CareLearning, also known as Passport, is a Cloud application used to keep track of some requirements from the hospitals. There are nine basic modules that must be complete prior to any clinical rotation. Some clinical rotations will require additional modules. 

Students will receive two emails prior to their first clinical with information about their CareLearning account. One will come from CareLearning (Passport) with instructions on how to access their account. The other will come from GSON staff with a reminder to access their account and complete the nine basic modules prior to their first clinical. 
If students cannot find the email, here are some easy steps to recover access:

  • Go to https://passport.carelearning.com/Account/Forgot and see if you can reset your password
  • Many of us have two different email aliases, use firstname.lastname@BarnesJewishCollege.edu to log in and if that doesn’t work, try with firstname.lastname@bjc.org
  • After you reset your password, go to https://passport.carelearning.com (that is the login page for Goldfarb students, other CareLearning login pages will not work)
  • If the response is that your account expired or doesn’t exist and you need to pay, don’t pay, and contact GSON-compliance@bjc.org 
    Once the modules are completed, students will need to submit the correct transcript to the compliance management program. 
Required information includes:

Background Checks and Drug Screening: Students at Barnes-Jewish College are required to undergo a criminal background check and urine drug screening prior to enrolling in classes. This requirement has been mandated by the Joint Commission as a safety measure that affects students participating in clinical experiences. The information packet is provided to incoming students approximately three (3) months prior to the start date. The packet includes instructions to complete the background check and drug screening along with the cost. Students are responsible for the cost of the background check and drug screening.

CPR REQUIRED: American Heart Association (AHA): BLS-Health Care Provider. Certification is valid for two (2) years and must not expire during your first term. Note: Graduate students may be required to submit additional CPR certifications.

Health Insurance: FOR GRADUATE STUDENTS ONLY (NOT REQUIRED FOR THE POST-MSN DNP PROGRAM) Proof of health insurance with an effective date within the current year is required. After the initial submission, proof of insurance will be required on January 15th of each year.

Immunization records required:

  • Measles (Rubeola), Mumps, Rubella (German Measles) 
  • Hepatitis B  
  • Tdap (Tetanus, Diphtheria, Pertussis) Renewed every 10 years
  • Varicella/Chicken Pox
  • Influenza vaccine or exemption (Fall and Spring terms)
  • COVID-19 vaccine or exemption

PPD/Tuberculosis 

2-step TB skin test or an IGRA blood test

 

If a student has had a positive TB test in the past, they must submit the previous positive TB test result, results of a clear chest x-ray dated after the positive TB test, and the completed BJC TB symptom screening form. 

TB tests must be renewed annually with a 1 step TB skin test or an IGRA blood test. If a student submit positive TB test documents at admission, they will only need to complete the BJC TB symptom screening form annually after that. 

 

Continuing Student Requirements

Continuing students are required to maintain proof of current immunizations, CPR certifications, and Care Learning competencies in their compliance management system accounts. Notifications are sent 60 and 30 days prior to the expiration date to allow for ample completion of requirements. Staff will review account requirements each week and prior to each registration period. Students will be ineligible for registration and clinical experiences if their accounts are not in compliance.
